
COURSE OVERVIEW:
Welcome to the Maintain Training & Assessment Information in Vocational Education course. This program is designed for vocational education professionals who are responsible for managing training records, assessment documentation, and regulatory reporting in line with the standards set for the Australian VET sector. Maintaining accurate, secure, and compliant training and assessment information is essential for ensuring quality assurance, student progression, and regulatory compliance.
The course begins by exploring the key regulatory requirements for record management within vocational education. You will learn how to comply with national frameworks such as the Standards for RTOs, the Unique Student Identifier (USI) system, and Total VET Activity (TVA) reporting. These systems ensure learner records are accurate, traceable, and support the national goal of a transparent, high-quality training system.
Data integrity and quality are core to compliant reporting. You will learn how to uphold data accuracy across systems, meet AVETMISS requirements, and maintain consistency in learner information. The course will also guide you through the documentation standards outlined in the Australian Qualifications Framework (AQF), ensuring that all certification issued is valid, authentic, and meets the national requirements.
An overview of the Registered Training Organisation’s (RTO) scope of registration is provided to ensure you understand how changes in training products—including updates, replacements, and deletions—must be reflected in recordkeeping and reporting. You will also explore your responsibilities in the transition of training products and how to maintain compliance throughout those changes.
You will examine your organisation’s policies and procedures related to the collection, verification, recording, and reporting of training and assessment data. This includes maintaining accurate records of enrolment, learner progress, assessment outcomes, and attendance, in accordance with regulatory and organisational requirements.
This course also focuses on effective communication with learners. You will develop skills to clearly explain program content, assessment requirements, training schedules, and RTO services. You will also learn how to disseminate accurate and up-to-date information to learners about their rights, obligations, and support services, in line with the National Code and the Standards for RTOs.
You will become familiar with the use of learner management systems (LMS), student management systems (SMS), and record information systems commonly used across the VET sector. You will learn how to input and manage data securely, complete final results, prepare statements of attainment and certificates, and finalise records for submission to required personnel.
Attention is also given to your role in identifying, documenting, and addressing issues and irregularities in recording and reporting activities. You will learn when to take corrective action independently and when to refer concerns beyond your scope to appropriate personnel.
By the end of this course, you will be equipped with the knowledge and skills necessary to maintain training and assessment information effectively, ensuring compliance with regulatory requirements and contributing to the quality and integrity of vocational education and training delivery.
