Administrative systems are used in all areas of work; they provide structure and controls to working tasks. They are developed to fulfil organisational requirements and to meet legal responsibilities. These systems ensure that work is carried out in set ways (or procedures); they ensure that work is consistent and achieves the required standards for a business.
Administrative systems and procedures are a set of rules and regulations that people who run an organisation must follow. These rules and regulations are put into place to help create a greater level of organisation, more efficiency and accountability of the organisation.
Administrative systems are important for employees, management and the board of directors who are responsible for running an organisation. The heads of the organisation must be held accountable for all of the rules and regulations set into place by the administrative procedures. They must be able to uphold these rules and must be held responsible when these regulations are not followed.
Managers of an organisation are also responsible for the upholding of the rules and regulations set in place by the administrative systems and procedures. These procedures give them a basis for how to manage employees and will ensure that their management is fair and consistent. Employees are not as strongly affected by administrative systems and procedures, but they are expected to uphold the rules of the organisation.
The administrative systems and procedures will give the organisation a basis for setting employee rules and regulations. Employees are expected to follow these rules in accordance with the administrative rules and regulations.
There are different administrative systems that exist for businesses; these enable a variety working functions to take place. How many are required in your workplace very much depends on the size of the organisation, and the type of work that is carried out there.
This course will show you how to plan, develop, implement, monitor and modify administrative systems to increase productivity in your organisation.
The first part of this course starts by discussing how to identify the requirements of an administrative system through consultation. Then explains how to get quotations from suppliers or developers and how to select the best supplier or developer for the job. Also, explains how to identify and develop implementation strategies and how to encourage staff to participate in all stages of the implementation process. Finally, discusses how to implement the administrative system.
The second part starts by discussing how to define and communicate procedures for using the system to staff. Then explains how to provide training and support for staff on the use of the system. Also, explains how to deal with contingencies to ensure minimal impact on users and how to monitor system for usage, security and output. Then discusses how to modify the system to meet changing needs and how to identify further modifications. Finally, explains how to monitor staff training needs and train staff on the administrative system.

- Plan ongoing monitoring activities to ensure the system remains valid
- Make changes to the system, relevant to organisational changing needs
- Maintain monitoring activities and report on required system changes to management
- Inform users of any changes that have been made, providing them with updated work procedures
- Check training records to assess staff competencies
- Talk with staff to determine skills gaps and needs
- Provide appropriate training to suit the employee(s)
